The Maintenance Administrative Assistant will be responsible for processing purchase orders and vendor invoices in a timely fashion and performing other administrative tasks, all in accordance with company policy and procedures. This position reports to the Fleet Maintenance Manager.
 
What will you do?
  • Process invoices/charge backs and forward for appropriate approvals;
  • Issue purchase orders and close invoices;
  • Post fuel, track tires, verify repairs, and enter work orders for mechanics;
  • Follow up with vendors to collect outstanding invoices;
  • Verify pricing via telephone inquiries;
  • Coordinate with vendors regarding invoicing , payment inquiries and discrepancies;
  • Respond to vendor inquiries in a timely and professional manner;
  • Coordinate with Accounts Payable and Sales departments;
  • File paperwork, order/maintain office supplies, and other administrative duties;
  • Sequence routes, print route sheets, and other dispatch support as required;
  • Assist the Fleet Maintenance Manager where necessary;
  • Perform other related duties as required.
 
What will you bring?
  • Completion of high school or GED equivalent;
  • Post-secondary education an asset;
  • 1-2 years previous experience working in a related office/administrative role;
  • Strong data entry skills;
  • Proficient with MS Office Suite, particularly Excel, Word and Outlook;
  • Strong skills in using accounting software (Great Plains is an asset);
  • Experience in dispatch software (Route Optics is an asset);
  • Knowledge of RTA (Fleet Maintenance software) or some mechanical knowledge considered a definite asset;
  • A customer focused approach to dealing with internal and external stakeholders;
  • Strong organizational and time management skills to function in a deadline-driven environment;
  • Strong communication and interpersonal skills, and the ability to work well with employees at various levels of the organization;
  • Ability to multi-task, strong attention to detail and can work well under pressure to meet deadlines;
  • Valid driver’s licence;
  • Some experience in the waste management and recycling industry an asset;
  • Ability to work independently and as part of a team.
